Conference Internship

Each year Oxford Analytica holds its International Conference at Christ Church, Oxford, UK. The Conference is attended by up to 300 Senior Executives and International decisionmakers from over 25 countries worldwide.

The Conference will take place from 15-18 September. During this time participants will attend small seminar discussions and larger panel discussions led by senior experts from Oxford Analytica’s contributor network. The Conference is residential allowing participants extensive opportunity for networking during coffee breaks, meals in the Great Hall at Christ Church, and after the sessions have ended. The event closes with a black-tie banquet at Blenheim Palace.

Three interns are employed over the summer months to help with the organisation of this unique three-day event.

Overview of job description

On a day-to-day basis, the Conference Assistant will be dealing with new registrations, processing details on a spreadsheet and inhouse database, and using this information to provide regular reports on attendance figures and to create the Conference timetable for all participants and speakers. There is a high element of administrative work involved and therefore excellent computer skills and written English are essential.

What we would like from an intern

  • Undergraduate/Master/D.phil. Students
  • Work experience relevant to the job role is a plus; excellent organisation skills
  • Excellent written and spoken English skills
  • Meets any required visa regulations
  • Microsoft Windows and applications (Word, Excel, Outlook, PowerPoint)
  • Good telephone manner
  • Team player who works well under pressure
  • Meticulous attention to detail

What the work entails

  • Working closely together with the Conference Manager
  • Admin tasks: raising invoices using SalesForce, creating an inhouse database on Excel, running regular update reports for Conference Manager
  • Co-ordinate promotion activities by mail, email and telephone
  • Each intern will be the main contact with either participants or team members
  • Ordering supplies / stationery
  • Assisting with marketing/printing issues
  • Assisting with delegation of 10 helpers during the Conference
  • Some telephone calls (‘soft selling’) to potential delegates might be required
  • The Blenheim Banquet intern will be responsible for producing the seating plan for over 300 guests, including VIPs and Sponsors. They will work closely with the Managing Director and Conference Advisor.

Time Commitment

  • Available full time from July 1st to September 24th 2010.
  • General working hours: 9am – 5.30pm (to increase closer to the Conference)

  • Access to the Oxford Analytica Daily Brief and the possibility to go to the morning conference – Oxford Analytica daily morning get-together of editors and region heads
